A Milestone approval is a Milestone with the “Pending” status and for which votes and the final decision should be provided.
The “Provide approval” is the list of the Milestone approvals that should be processed (provide a vote or the final decision) by the sign-in User.
If the user has the permission MILESTONE_APPROVAL_PERMISSION:
- The list contains all Milestone approvals for which he needs to provide a vote (meaning he was included in the approvers).
It the user has the permission MILESTONE_DECIDE_PERMISSION:
- The list contains all Milestone approvals for which a decision must be given, in other words all Milestone approvals for which the final decision is not already provided. For sure this list includes all Milestone approvals for which a vote is needed.
Both permissions are cumulative: if a user has the permission MILESTONE_APPROVAL_PERMISSION it's meaning he is a voter (only for the Milestone approvals for which he is required) and if he has the permission MILESTONE_DECIDE_PERMISSION it's meaning he is a decider (for all Milestone approvals).
If the user has neither the permission MILESTONE_APPROVAL_PERMISSION nor MILESTONE_DECIDE_PERMISSION then the “Provide approval” menu is not displayed.
To process a Milestone, the User needs to click on it.
Make a vote
A user can make a vote for a Milestone approval only if he has the permission MILESTONE_VOTE_PERMISSION and if he is an approver of the Milestone.
The details of a Milestone approval (in a vote context) is composed by:
- The Milestone details
- The relevant Initiative/Release's attributes
- The list of approvers with their vote and comment
- The form to provide a vote
The page to make a vote is in fact the same page to make a decision. If a user is required to vote then the “Your feedback” form is displayed, and if he is required to provide the final decision then the “Record final approval” form is displayed. So it's possible to have both forms.
If the original Request contained an attachment document, then it has been reported to the Milestone approval and could be download by clicking on the button “Download the milestone document description”.
To provide a vote, the user should select his review (Approve or Reject) and possibly a comment. His vote is recorded after clicking on the “Submit” button.
When the last approver has provided his vote, a Notification is sent to all deciders (users with the permission MILESTONE_DECIDE_PERMISSION).
Make the final decision
A user can make the final decision for a Milestone approval only if he has the permission MILESTONE_DECIDE_PERMISSION.

To provide the final decision, the user should select the decision status, if necessary change the passed date, and possibly add a comment. His decision is recorded after clicking on the “Submit milestone approval” button, a Notification is also sent to the manager of the Initiative/Release.
Once done, the final decision cannot be reverted.
It is also possible to remove the Milestone by clicking on the delete icon . In this case the governance part of the corresponding Initiative/Release will be as before the Milestone Request.
